Privacy Policy
Effective Date: October 29, 2026
This policy explains how Let’s Tech LLC handles personal information in the LetsTicket help desk — the ticketing system we use to support our clients, including the text messages it sends.
1Who we are
Let’s Tech LLC is a managed IT services provider based in Oregon, United States. We operate the LetsTicket help desk to receive, track and resolve support requests from the organizations we work with. You can reach us at info@letstech.us.
This policy covers the help desk and its notifications. Our public website is covered by the separate letstech.us privacy policy.
2Information we collect
We collect only what the help desk needs in order to work.
- Contact details — name, work email address, employer, job title, and, where it has been provided to us, a mobile telephone number.
- Support request content — whatever you write in a ticket, reply or attachment, and our notes and replies about it.
- Device and account information — details about the equipment and accounts we support for your organization, collected so that we can support them.
- Service records — the times tickets were opened, updated and resolved, and the time our technicians spent on them.
- Sign-in records for the technicians and client contacts who log in to the portal.
We do not use cookies for advertising, we run no advertising network tags, and we do not buy personal information from data brokers or lead generators.
3How we use it
- To receive, route, work and resolve your support requests.
- To contact you about a request — by email, by telephone, or by text message where we have consent to use that number.
- To alert our on-call technician when something urgent needs attention.
- To keep records of the work performed, for billing and for our own service history.
We do not use your information to market to you on behalf of anyone else, and we do not use the contents of your tickets to build advertising profiles.
4Text messages and your mobile number
This section governs mobile telephone numbers and SMS consent specifically. It applies in addition to everything else in this policy, and where the two differ, this section controls.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
Text messaging originator opt-in data and consent will not be shared with any third parties.
In plain terms: we will never sell, rent, lease, trade or otherwise transfer your mobile number or your consent to receive text messages. We do not pass it to affiliates, partners, advertisers, lead generators or any other business for their own use. The only parties that ever handle it are the service providers listed in section 5, who act strictly on our instructions in order to deliver the message to you, and who are not permitted to use it for anything else.
Your mobile number reaches us through the services agreement between Let’s Tech LLC and your employer, which identifies the people authorized to receive help desk messages, or because you or your organization gave it to us directly for support purposes. Consent is specific to Let’s Tech — we do not accept consent collected by another business on our behalf, and we do not pass your consent on to anyone else.
You can stop the messages at any time by replying STOP to any text we send. Reply HELP for assistance, or email info@letstech.us. Message and data rates may apply, and message frequency varies. Full messaging terms, including the kinds of messages we send, are in our Terms and Conditions.
5Service providers we rely on
We use a small number of established vendors to run the help desk. Each receives only what it needs to perform its function, processes it on our instructions, and may not use it for its own marketing.
- Twilio — delivers our text messages to your mobile carrier.
- Microsoft 365 — email, and technician sign-in.
- Amazon Web Services — hosting for the help desk and its database.
- Cloudflare — DNS and network protection for our domains.
We may also disclose information where the law requires it, or to protect our rights, safety or property. Outside those circumstances we do not disclose your information to anyone else.
6Where your information is held
In the United States. Our help desk runs in Amazon Web Services in the US West (Oregon) region, and our email is hosted in Microsoft 365 in the United States.
7How long we keep it
We keep tickets and their correspondence for as long as we provide services to your organization and for a period afterwards, so that we have a service history to refer back to and so that we can meet our record-keeping and tax obligations. Where a client agreement or a legal obligation sets a specific retention period, we follow that period.
If you opt out of text messages, we keep a record that you opted out. We have to — it is how we make sure the messages stop.
8Protected health information
Some of our clients work in healthcare, and a support request from them may contain protected health information. Where Let’s Tech LLC acts as a business associate under HIPAA, a Business Associate Agreement with that client governs our handling of that information, and the terms of that agreement take precedence over this policy to the extent they conflict.
9Security
Access to the help desk is restricted to authorized Let’s Tech technicians and the client contacts at each organization. Technicians sign in through Microsoft 365 with multi-factor authentication. Traffic to the help desk is encrypted in transit, and data is encrypted at rest. No system is perfectly secure, but we treat your information as we would want ours treated.
10Your choices
- Stop the texts — reply STOP to any message, or email us.
- Ask what we hold — email us and we will tell you, and provide a copy.
- Correct it — tell us what is wrong and we will fix it.
- Ask us to delete it — we will, except where we are required to keep a record, or where your employer, as our client, needs us to retain the service history.
Email info@letstech.us. A person handles these requests — there is no form to fill in.
11Children’s privacy
The LetsTicket help desk is a business service. It is not directed at children, and we do not knowingly collect personal information from anyone under 13.
12Changes to this policy
If we change how the help desk handles information, we will update this page and change the effective date at the top. Material changes take effect when they are posted here.
